 Board Meeting Minutes

Board members present: Jan Patterson (president), Judy Herring (vice president), Christina Vidlund (secretary), Ellen Starr (treasurer), Eddie Quinn, Sandy Quinn (guest), Roger Starr, Veloris Montonye, Joan Stremich, Jerry Colson (guest)

I. Minutes from September 8, 2011 were approved by the board with no changes.

II. Old Business

1.Voting on bylaws changes: The board reviewed the changes to the bylaws discussed at the last meeting and voted to make those changes. Jan will ask Mike to please update this document on the club website.

3. Treasurer’s Report: Ellen

Ellen reports the current balance is $1,229.73. This does include a $20 donation to Aberdeen Scottish Terrier Rescue (ASTR) for the passing of Scottie Pippen. The club’s next big expense will most likely be insurance, which will be due after the first of the year and the club should have increased cash on hand due to membership renewals.

4. Rescue Update: Joan

Joan reports they are going to look at a 3 year old dog from Portland who has some skin problems. They also have a home visit scheduled for a couple in Harrisburg to meet a 7 year old boy named Cameron. There are also 2 puppies in a pet shop in Eugene that rescue is thinking of purchasing. They are both boys and about 6 or 7 months old. Harry and Lola’s mom has offered to get them and keep them through the holidays.

Joan also mentions the Taylors, a couple who has expressed interest in a rescue and rescue will meet them in Sunnydale. Also Phyllis and Larry who lost their dog recently and are looking for a female.

Joan reports that ASTR has not have many dogs this year.

III. New business

1. 2012 board elections: Jan

Christina Vidlund and Ellen Starr have both agreed to run for another term on the December ballot.

Sandy Quinn also agrees to run and become the 10th board member, as allowed in the bylaws.

Jan will create ballots and count them. Ballots will be distributed at the annual meeting/Christmas party. Those who are not at the annual meeting will get a ballot by email.

2. Logistical details/planning for Christmas party

The board discussed the possibility of having a dog walk prior to or after the party. Nola was not present, so unable to give details about parking or whether the area was safe for walking dogs. Several people report that it is a neighborhood with street parking. The board decided not to invite people to bring their dogs, but that people could walk them before the party if they want to."

Judy will bring sugar and creamer. Veloris will bring tea, tea kettles. Joan has table cloths. We can also find out from Nola the size of the tables and go to Dollar Tree to get tablecloths. Sandy will bring silverware, dessert plates and napkins. Ellen will bring cups and she is also taking RSVPs

Fundraiser – Ellen has a small basket of items to raffle. She also has tickets. Judy offers to make a small tree with Scottie ornaments to raffle.

3. Cupcake pincushions/snail mail invites to rescue families: Veloris

Veloris brought a cupcake pincushion that she found in a gift shop to show and see if the board is interested in making them for the party. Some people said they would be interested and they will coordinate separately.

Veloris also brought up sending out paper invites to families who have adopted dogs through rescue, since they may not be on our club email list. Joan said she can provide addresses. Veloris made a draft of a letter and will include information about the dog food drive. Sandy brought the board information about this. Veloris will not mention any dog walk in the invitation and will ask them to RSVP to Ellen. She will also try to get those out soon since the party is coming up.

4. Ideas for January/February club events

January – Spaghetti Factory lunch 1/18

February – Valentine’s Day party. Judy talked to Judi James from My Dog’s Gym who seemed open to the idea of the club coming back. Judy will ask her if we can plan a Valentine’s Day party there, possibly 2/11 or 2/12. Veloris asks for a Sunday, if possible.

March – Judy will look for an instructor to give a presentation about nosework for our March event.

5. Board meeting schedule for 2012. Christina asked Lisa (server) to please reserve the room for our upcoming board meetings. She said she can definitely reserve for the next meeting 1/12/12.  Lisa will staple the schedule on the book and Christina will touch base with her at the next meeting to see how far out the schedule is at that time.

6. Membership renewal form. Christina will use the last form from Ellen to create a new form that she will save and email to Ellen.
